Information Security Policy

Mediation depends on confidentiality. We take appropriate technical and organisational measures to protect the information entrusted to us.

Technical measures

  • Encrypted email and secure document transfer for case papers
  • Encrypted devices with strong authentication and automatic locking
  • Multi-factor authentication on business systems
  • Reputable video conferencing platforms with locked, private breakout rooms
  • Regular software updates and reputable endpoint protection
  • Regular, encrypted backups

Organisational measures

  • Confidentiality obligations in every mediation agreement and mediator contract
  • Access to case papers limited to the appointed mediator and necessary administrative staff
  • Recording of mediations is never permitted
  • Annual review of this policy and of our data processing activities

Incidents

Any suspected data breach is investigated immediately and, where the legal threshold is met, reported to the Information Commissioner's Office within 72 hours and to affected individuals without undue delay. Please report any concern to enquiries@promediate.co.uk.
